Effective date: 31 July 2026 Last updated: 31 July 2026 Applicable to LIM users
Important: Schools and authorised operators must enter personal information into LIM only when they have a lawful purpose and the necessary permission from the concerned student, parent, guardian, employee or staff member.

1. About this Privacy Policy

LIM, also known as Lakshmi ID Maker, is an application developed by Penport India to help authorised schools and operators create, manage, edit and prepare student and staff ID-card records.

By accessing or using LIM, the school or authorised user acknowledges this Privacy Policy and agrees to handle all information entered into the application responsibly and in accordance with applicable law.

2. Information We Collect and Process

A. School account and login information

LIM may process the school name, school user ID, registered phone number, account status, password or credential submitted for login, and other account information maintained for authentication and access control.

B. Student information

Depending on the fields completed by an authorised user, LIM may process:

Identity and academic details Student name, enrollment number, admission number, class, section and roll number.
Personal details Date of birth, father’s name, mother’s name, contact number and address.
School-related details Mode of transport, house name and school identity details.
Optional sensitive details Blood group and photograph, where supplied for the ID card.

C. Staff information

LIM may process staff name, enrollment number, employee ID, designation, father’s or spouse’s name, date of birth, contact number, address, blood group, photograph and school details.

D. Photographs and camera/gallery data

The application may allow an authorised user to capture a photograph using the device camera or choose an image from the device gallery. The selected image may be cropped, resized and compressed before upload. LIM does not require continuous camera access and does not intentionally record audio.

E. Technical and session information

For account security and active-session management, LIM may process the user’s public IP address, online status, login time, session expiry time and school account identifier. The application may also process basic browser, device, network and error information that is ordinarily generated while using web-based services.

F. Information not intentionally collected

LIM is not designed to collect precise GPS location, contacts, call logs, SMS messages, microphone recordings, financial account details or advertising identifiers unless a future feature clearly requests such information and this policy is updated.

3. How We Use Information

Information is processed for purposes such as:

  • Authenticating schools and authorised users.
  • Creating unique student or staff enrollment numbers.
  • Creating, displaying, editing and preparing ID-card records.
  • Uploading and linking photographs with the relevant record.
  • Generating previews, barcodes, receipts or downloadable ID-card files.
  • Maintaining login sessions and reducing unauthorised account use.
  • Providing technical support, troubleshooting and service improvements.
  • Maintaining operational records, usage credits and service administration.
  • Complying with applicable legal, regulatory or lawful authority requirements.

LIM does not sell personal information. Information is not intended to be used for behavioural advertising or unrelated marketing.

5. Third-Party Services and Information Sharing

LIM uses external technology providers to operate its services. Information may therefore be transmitted to or processed by:

Google Firebase Used for application database functions, school account verification, session records and storage of student or staff record data.
Cloudinary Used for uploading, hosting and delivering photographs associated with ID-card records.
IP information service A third-party IP lookup service may be contacted to obtain the public IP address used for session-security purposes.
Technical libraries External libraries may be used for barcode generation, page rendering and PDF creation.

These providers may process technical information according to their own terms and privacy practices. Personal information may also be disclosed when required by law, court order, governmental authority, fraud prevention, security investigation, or to protect legal rights and the safety of users.

6. Data Storage and Retention

Student, staff and school records may be stored in a cloud-hosted database. Photographs may be stored through a cloud image-hosting service. Data may be processed or hosted on servers located outside the user’s state or country, subject to the service provider’s infrastructure and applicable safeguards.

Records are retained for as long as reasonably necessary to provide the ID-card service, maintain school records, complete printing or delivery, resolve disputes, provide support, meet contractual requirements or comply with law.

Active-session information is intended to be temporary and may be removed upon logout, connection termination or session expiry. However, technical failures or provider logs may cause limited information to remain for a longer period.

Schools should periodically review records and request correction or deletion when information is no longer required. Deleting a database record may not automatically remove all backups, cached files, previously generated PDFs or separately hosted images immediately.

7. Data Security

Penport India uses reasonable technical and organisational measures intended to protect information against unauthorised access, misuse, loss, alteration or disclosure. These measures may include authenticated access, input validation, session limits, controlled database access and secure HTTPS connections.

No internet-based system can guarantee absolute security. Schools and users must protect their login credentials, use trusted devices and networks, log out after use, restrict access to authorised personnel, and promptly report suspected account misuse.

8. Children’s and Students’ Privacy

LIM may process information relating to school students, including minors, only for legitimate school identification and administration purposes. The application is intended to be operated by schools, authorised personnel or responsible adults and is not intended for unsupervised use by children.

Schools must collect only the minimum information necessary, limit access to authorised persons and avoid displaying or sharing student records publicly.

9. Device Permissions

LIM may request the following device or browser permissions:

  • Camera: to capture a photograph for an ID card. Camera access begins only after the user selects the camera option.
  • Photos, media or file access: to allow the user to choose an existing image and save or download an ID-card PDF.
  • Internet/network access: to authenticate accounts, store records, upload photographs and generate online services.

Permission availability and labels may vary by browser, device and operating system. A user may deny a permission, but the related feature may then be unavailable.

10. Access, Correction and Deletion Requests

Subject to applicable law and verification, a concerned person may request access to, correction of or deletion of their personal information. Because schools generally submit and manage the records, the request should first be made to the relevant school or organisation.

The school may then use the available edit functions or contact Penport India for technical assistance. A request may require proof of identity, authority or guardianship before action is taken.

Certain information may be retained when required for legal compliance, fraud prevention, security, dispute resolution, service records or legitimate operational purposes.

12. Changes to This Privacy Policy

This Privacy Policy may be updated to reflect changes in the application, service providers, legal requirements or data-handling practices. The revised effective date will be displayed at the top of this page. Continued use of LIM after an update means the user should review and follow the revised policy.

13. Contact and Privacy Questions

For privacy questions, correction or deletion assistance, first contact the school or organisation that created the relevant ID-card record.
